1. Data controller

The data controller is BEMA SRL — VAT no. 02586850501 — Via Salvestroni 6, Pisa, Italy. To ask questions or exercise data protection rights, email hello@moovia.ai.

2. Data we may process

Technical browsing data: IP address, user agent, requested resources, date and time, diagnostics and error information. Access logging is disabled in the container serving the website; external infrastructure providers may nevertheless generate strictly necessary security logs.

Data you send voluntarily: email address, name, company, message content and related metadata when you contact Moovia.ai directly.

Booking data: when you open Calendly and book a call, Calendly may collect your name, email, company, time zone, appointment details and information entered in its form. We also process these data to manage your enquiry and meeting.

3. Purposes and legal bases

  • Delivering and protecting the website, preventing abuse and diagnosing technical issues: our legitimate interest in security and proper operation.
  • Responding to emails, enquiries and bookings, assessing needs and arranging a call: steps taken at your request before entering into a contract.
  • Complying with laws and authority requests: legal obligation.
  • Establishing, exercising or defending legal claims: our legitimate interest in protecting our rights.

4. Providing data

You do not need to submit data through a form to browse the website. Sending an email and booking through Calendly are voluntary; information marked as required by the chosen channel is needed to respond or arrange the meeting. Without it, we may be unable to handle your request.

5. Recipients and processors

Data are accessible to authorised staff and collaborators and may be processed by hosting, security, email and technical support providers appointed as processors where required.

Calendly acts as a processor for booking data handled on behalf of its customers. When you visit Calendly directly, it may also carry out its own processing as described in its notice.

6. Transfers outside the EEA

Some providers may process data outside the European Economic Area. Where this occurs, transfers rely on adequacy decisions or other safeguards under the GDPR, such as standard contractual clauses. Information about Calendly’s safeguards is available in the legal documents linked above.

7. Retention

Pre-contract enquiries, emails and booking data are retained as long as necessary to manage them and, in any event, no longer than 24 months after the last contact, unless a contract begins or longer retention is required by law or to address a dispute.

Any external infrastructure security logs are kept by providers only for the period needed for technical and security purposes, according to their configurations and notices.

8. Your rights

Where provided by the GDPR, you may request:

  • access to and a copy of your personal data;
  • correction or completion of inaccurate data;
  • erasure or restriction of processing;
  • portability of data you provided, where applicable;
  • objection to processing based on legitimate interests;
  • withdrawal of consent where processing is consent-based, without affecting earlier processing.

9. Complaint to a supervisory authority

You may lodge a complaint with the Italian Data Protection Authority or the competent authority in the EU Member State where you live, work or believe an infringement occurred.

10. Profiling and automated decisions

Moovia.ai does not use analytics, advertising pixels or marketing tools. We do not profile visitors or make decisions based solely on automated processing that produce legal or similarly significant effects.

11. Security

We use technical and organisational measures proportionate to the nature of the website and the data processed. No system can guarantee absolute security; please agree an appropriate channel with us before sending particularly sensitive information.
